Organization overview

Rose City Music Academy is in the process of becoming a 501(c)3 Music Academy after ten years of successful operation as an LLC providing music lessons throughout Portland and Beaverton, Oregon. Our student community contains over a hundred families each year and a dozen long-term faculty members and continues to grow. We maintain and support an excellent teaching faculty with very low turnover, personalized parent support, quality music lessons for school communities and aftercare facilities, and robust student support including group classes, practice mentors, and summer music camps. We look forward to building an even stronger scholarship program including outreach to Beaverton’s refugee communities and faculty and guest benefit concert performances.

Administrative Director

-welcomes new student contacts with prompt responses by phone and email

-is diligent to enter student info in task management software

-assists faculty members with any teaching room issues

-communicates well with venue administrators (usually school aftercare coordinators and recital venue rental coordinators)

-logically divides and delegates tasks among other assistants, faculty and staff.

-is able to enter data into Quickbooks, email apps, etc.

-has a passion for quality music education


As RCMA transforms into a not for profit structure, our Artistic Director and board would prefer to cultivate a salaried Executive Director from within the organization within the next two years. It is our hope that the right Administrative Director would be interested in long-term investment in our Academy and the musical community we have built. Ideally, it would be a natural next step to move from success in the Administrative Director position to a full position as Executive Director. Candidates with interest, training, drive and experience in Arts Administration are enthusiastically encouraged to apply.

Essential Qualifications

Must demonstrate experience with Microsoft Office and Google Suites, Quickbooks data entry, and maintain professional phone and interpersonal skills. Must enjoy working with others including parents and children. Ability to remain on task and organized while responding to various input is essential, as are excellent productivity habits.

Schedule

Hours will typically be 9-12pm weekdays, plus attending first weeks of lessons each fall to assist faculty (3-7pm weekdays for one week in September). Camp weeks (three weeks in July) the hours will be 8:30-3:30pm on location, and fall registration will normally require a week or two of 9-5pm work in early August. Student recitals, new student lessons, and other activities will require assistance as well. Lessons are mostly in the evenings between 3-7pm and recitals are three times a year on a weekday evening and a weekend afternoon.

Responsibilities

Provide first point of contact in client communication (email, phone, etc.). Enroll new students, including entering their data, completing collection of tuition, and relationship maintenance. Enroll students for summer camps in similar manner.  Assist in hiring process for new faculty including cultivating leads to completion of background checks, etc. Assist the Artistic Director and Founder with tasks related to promotion of the Academy.
